10 Ways to Get Your Office Work Done Faster

 
 
1.     Convert your paper documents to digital files. 
 
A Xerox Multifunction Printer with Scanning allows you to easily convert paper documents into PDF, text-searchable PDF, TIFF, XPS, or JPG files. These files can be emailed or stored on a network repository so everyone on your network can retrieve them quickly and easily. You’ll save time and reduce document storage costs.
 
2.     Scan documents in Text-Searchable PDF format for easy retrieval.
 
3.     Get a quality Optical Character Recognition (OCR) and desktop document management software package. 
 
Re-purpose and edit scanned documents with Xerox Scan to PC Desktop®.  This software package also allows you to:
 
·       Recognize, edit, format, verify and proofread text
·       Retain or modify original formatting
·       Save to PDF and a variety of other popular formats
·       Save time by not having to re-key documents. 
·       Enhance image quality if desired
·       Mark and redact text
·       Process large volumes unattended
·       Listen to text and save it to an audio file
·       Print, archive and share documents
·       Assemble documents from different file formats (MS Word, Excel, Powerpoint, etc) into one larger PDF document
 
4.     Print to your copier. 
 
Get a quality multifunction printer (MFP) with copying, faxing, scanning, and email capability. Make sure the speed and durability is sufficient to handle your workload. Your Xerox Account Representative can recommend the right MFP to fit your needs. Once you can print to your copier, functions such as duplex printing, stapling, hole- punching, etc. are also available at the print driver. 
 
5.    Leverage the power of the print driver with such features as:
·       Secure Print--Holds jobs at the device until a user enters a PIN to claim them. A time-out feature deletes unclaimed jobs, preventing stacks of forgotten prints from piling up at the device. Xerox Secure Print also prevents unauthorized viewing of sensitive documents—a necessity in many legal, health care and financial organizations.
·       Sample Set—When printing many sets of a document, this allows you to preview the first set to make sure the output is what you wanted. Once you are assured that the output is correct, you then release the remainder of the print job from the queue. If the output is not correct, you can cancel the remainder of the job from the print queue and correct the print driver attributes. If the first print job output set is incorrect, you minimize wasted pages rather than finding out the documents are incorrect only after all have been printed.
·       Delay Print—Set a specific time for your job to start printing. This allows you to print large jobs at an off-peak time to prevent bottlenecks at the printer.
 
6.     Connect your scanning-enabled Xerox multifunction printer to numerous document records management and workflow solutions with Xerox EIP (Extensible Interface Platform). Your scanning workflow will appear right on the copier control panel.
 
7.     Re-Think Faxing and Start Thinking Email. 
 
Transition away from faxing with a Xerox multifunction printer with Scan-to-Email. Documents that are emailed rather than faxed have greater clarity, cost less to send, and are more likely to reach their recipient in a timely manner. Fax Forward to Email allows incoming faxes to be routed to an email address.
 
8.     Reduce labor-intensive document finishing tasks by letting your multifunction printer do the work for you. Xerox MFP’s assemble completed document packets for you by:
 
·       Electronically Collating
·       Stapling and hole punching
·       Booklet stapling and folding
·       Tri-folding
·       Automatically inserting covers and divider sheets of a different paper color and/or stock
 
9.     Get a multifunction printer (MFP) that is color-capable. 
 
The cost of a color-capable MFP is not that much more than a black-only MFP.  If you don’t need color printing very often, you won’t pay much for the color pages. If you need color printing frequently, it will cost less to print in color on a Xerox color MFP than on a typical desktop color printer.
